Voice agents
What an AI voice agent can and can't do for a local business
By Tejas Karan Agrawal · · 2 min read
An AI voice agent is software that answers the phone and holds a spoken conversation. It hears the caller, works out what they want, and replies in a natural voice. Behind it is a large language model, plus the rules and tools you give it: your calendar, your services, your hours and your prices.
What it does well
- Answers every call, including evenings, weekends and when two people call at once.
- Asks the same qualifying questions every time, so no detail is forgotten.
- Books appointments straight into your calendar and texts a confirmation.
- Answers the routine questions: hours, location, service area, what to bring.
- Writes a short summary of each call and sends it to you or your CRM.
Where a person still needs to step in
- Prices that depend on the job. The agent can explain how pricing works and book a quote, but it should not invent a number.
- Complaints and upset customers. These should go straight to you, flagged.
- Anything medical, legal or financial that needs professional judgement.
- Unusual requests your rules don't cover. A good agent says so and hands over.
This is the most important part of the setup: deciding what the agent must hand to a person, and how. A text to the owner, a transfer to a mobile, or a callback task in the CRM all work. What doesn't work is an agent that guesses.
How to set one up so callers trust it
- Write down the ten questions you are asked most often, and your answers.
- List the questions you always ask a new customer before booking.
- Decide what counts as urgent, and who gets the call or text when it happens.
- Connect the calendar and the place where leads are kept, such as a CRM or a spreadsheet.
- Test it by calling it yourself, as a confused customer, an angry one and one with an odd request.
Tell callers early that they are speaking with an automated assistant. People are more patient with a system that is honest about what it is, and it is the right thing to do.
What to measure
After the first month, look at three things: how many calls ended in a booking, how many were handed to a person, and how many callers hung up early. The hang-ups and hand-offs tell you what to fix in the script.
